Sunsama ( ) seems to be working on that, along with better collaboration, though I don't think they've quite cracked that incredibly big challenge :-) Ultimately, it would be nice if a To Do list app could help us sort through the noise in our days and get better at identifying what exactly we should focus on. The advantage to that approach is it forces you to distill right away what you should do about an email and put it in your own words so you don't have to root through the email text a second time and re-establish the context for yourself. I read the GTD idea a long time ago that you should decide if an email is actionable right away while you have the context in your head, do the action immediately if it's quick (< 5 minutes), and put the action on a separate To Do otherwise. I am inclined to agree with the popular notion that you should use your calendar as a task list, but I find I have a hard time predicting how long a given task is going to take me. The app gives you some nice options for scheduling the time to which you want to defer. I would prefer to just carry a pen and notebook, but that is not practical for me because my phone takes up my pocket space :-) The best part about Swipes is swiping left to defer completion of a task. I have a strong preference for simplicity. I've tried several approaches over the years. Those items, as well as anything we might have in a project management system at work, gets added to my planner as-needed so I can keep myself focused on the right thing for the day. I use Things to capture stuff on the fly when I don't have my planner in front of me. That said, I haven't cut digital tasks out of my life completely. Using an analog system for goal setting, planning, and organization has forced a much higher level of touch and intentionality that has made me feel much more in control (or, at the very least, more aware) of how I invest my time. "I can't easily look back at what I've done and when." I have not missed this even a little bit and really can't think of the last time I did it when I was using digital systems. "I can't search an analog task list." If I have so many outstanding tasks that I need a search feature to them, I'm probably not delegating or trusting other people enough. Feels/felt counter-intuitive at first, but I realized the reasons I felt like I needed a digital system were really indicators of weaknesses I was leaning into. Nirvana handles my repeating tasks, and I do add some reminders to Google Calendar (bills/payments). I don't tend to capture much on the mobile, although Google Keep/Nirvana are handy for that on the move.when I'm at my desk it's Nirvana that allows me to make quick capture (press I, type your text, press Enter). That only show those prioritised Next tasks.įor me, Nirvana is my "hub". I have a filter for those items on the left-hand side called "Focus". The "Meditate" task has a p1 flag set that brings it to the top of the list. As you can see, there's different projects on the right hand side. When I access it, it will show all those tasks with a label of "Next". I've created a "Next Actions" filter on the left hand side. Hi again - this should be possible in Todoist where you can use labels and priority flags. Would be glad if you had any insights about this as well as the problem that i made this post originally for. I am going on a tangent here, but I feel like I'm so close to having that mental clarity and i just need to figure out a couple different things. And I find it a little difficult to organize and bring in tasks from the brainstorming i do on paper, and i dont always implement all the tasks, especially if they are in a timeline (I still find paper works best for planning)

I'm undecided how to deal and organize the recurring and repeated tasks (like daily routines and travel lists). (A work note taking app, a personal one, a clipboard). So sone of the friction is because of that as well.įor example, my "inbox" is in many places. As I have not really been able to implement GTD efficiently. Though i also feel that I am not doing GTD correctly. But I also want to be able to see the next actions only for certain projects, or only certain tasks depending on the time of the day, energy and other parameters There could be next actions in multiple different projects. So what I would like to be able to do is view discrete lists, regardless of what project they are in.
